Vendor check-in verification: proving a technician was really on site
Vendor check-in verification confirms that the technician who billed for a visit was actually at the site, when and for how long, and what they did. The strongest proof ties four things to every work order: who checked in, a verified location, verified times and a record of the work. spryggAIVR collects all four from a phone call and a one-tap text, with no clunky keypad phone tree or native apps for the technician to navigate.

Why does vendor check-in fail?
Most multi-site operators work with a long roster of vendors, and each of those vendors serves many customers who all want check-ins done differently. The result is usually that the check-in gets skipped, and facility and maintenance teams can't confirm anyone was on site.
- App fatigue. Technicians already juggle a different app for every customer, so a new check-in app gets skipped.
- Phone trees prove a call, not a visit. A keypad IVR records that someone called in with a work order number. It can't tell where the caller was standing. And calls from the store's phone rarely happen, because staff are busy or the phone isn't in a convenient spot.
- No record of the work. A status change to "complete" says nothing about what was done, which parts were used or what still needs a follow-up.
- Every site and vendor is different. When each vendor uses its own process, there's no single standard to audit against.
What does verified presence mean?
A visit is verified when four facts are captured at the time of the visit, not reconstructed later from an invoice.
| Element | Question it answers | How spryggAIVR captures it |
|---|---|---|
| Identity | Which technician, from which vendor? | Caller ID matches the technician; if the phone number isn't recognized, the caller enters their vendor's PIN |
| Location | Were they at this site? | A one-tap text link, opened in the phone's browser, checks the device location against the work order's site address |
| Time | When did they arrive, and how long did they stay? | Check-in and check-out are timestamped by the calls, and time on site is calculated from them |
| Work record | What was done? | At check-out the technician describes the work by voice, and it becomes a completion report with any photos they send by text message |
Like any phone-based location check, this depends on the technician allowing location access. If they decline, the visit is marked unverified and shows only the approximate area the phone number is registered to. If the location is outside the site's radius, the visit is flagged off site.
Which check-in methods actually prove presence?
| Method | What it proves | Needs an app? |
|---|---|---|
| Keypad phone tree (IVR) | That someone called with a work order number | No |
| GPS geofencing app | The device's location, while the app is installed and running | Yes |
| QR code or NFC tag at the site | That the tag was scanned, if the tag hasn't been copied | Usually |
| Timestamped photo | That a photo was taken at a time; the place can be unclear | No |
| Voice AI call + text location link | Who called, the device's location at check-in, and a spoken record of the work | No |
Each method has a place. A geofencing app is strong when every technician runs it; the trade-off is adoption, especially with subcontractors and smaller vendors.
How does spryggAIVR verify a vendor visit?
- The technician calls one number. The same number for every site and vendor. Caller ID identifies the technician and pulls up their open work order.
- Their location gets verified. A one-tap text confirms they're at your site before the clock starts. Nothing to download, nothing to log into.
- They check out by talking. The technician calls back and describes the work, and spryggAIVR turns it into a completion report.
- It syncs to your system. Status, verified time on site and the report go to your CMMS, a spreadsheet, an inbox or Slack.
What should an auditable visit record contain?
Whatever tool you use, check that each visit record can answer these without a phone call to the vendor:
- The work order and site
- The technician and their vendor company
- Check-in time, and whether the location was verified, flagged off site or unverified
- Check-out time and total time on site
- Work performed, parts used and any follow-up needed
- Photos of the completed work
- Where the record was sent (the CMMS work order, an inbox or a channel)
Who is vendor check-in verification for?
Two groups need it most. Multi-site operators (retail, restaurants, medical and similar) use it to confirm that every vendor actually showed up before they approve the invoice. Facilities maintenance companies use it to give each client the same proof of presence, whatever CMMS that client runs.
Frequently asked questions
How do I verify that a vendor actually showed up?
Capture identity, location and time when the technician arrives, not afterwards. With spryggAIVR the technician calls one number, caller ID identifies them, and a one-tap text link checks their phone's location against the site address before the clock starts.
Do technicians need to install an app?
No. The check-in and check-out are phone calls to one number. The only tap is a texted link that opens in the phone's browser to confirm location.
What happens if a technician's location can't be verified?
The visit isn't accepted as verified. If the technician declines location access it's marked unverified, and if the location is outside the site's radius it's flagged off site, so you know which visits need a follow-up.
Does it replace our CMMS?
No. spryggAIVR adds verified check-in to the system you already use. It works with ServiceChannel, spryggCMMS and Google Sheets today, pulling in work orders and writing every check-in back, and it can also send check-ins to email and Slack. Corrigo and Accruent connectors are coming soon.
